The Administrative Coordinator works closely with Development & Marketing to handle daily tasks and projects. The Administrative Coordinator will handle general administrative duties for the office and those assigned by the staff. This is an hourly position, working full-time (40 hours per week) Monday through Friday. Additional evening and weekend work required occasionally.


  • Answer, direct and transfer incoming calls, taking messages as necessary.

  • Assist patrons with questions regarding upcoming concerts and events.

  • Prepare and send out donation reminder letters and thank you letters

  • Prepare and process redemptions of approved comp certificates.

  • Prepare and process approved donations of concert tickets/packages to other organizations.

  • Update master calendar to include events, concerts, holidays, and staff schedules.

  • Work on assigned special projects including targeted subscriber and donor mailings, data input and article clipping.

  • Maintain and manage donor database including input, mining, reporting, mailings, etc.

  • Maintain and order office supplies and post office materials.

  • Preserve office appearance including depositing of trash, handling of document shredding and organization of office.

  • Oversee relationships with approved vendors regarding general office administrative management.

  • Open & distribute mail and handle processing of invoices.

  • Attend weekly staff meetings and provide updates on projects.

  • Provide administrative support for office staff as needed.

Job Requirements:

  • Four-year degree from an accredited college and two years of related experience preferred

  • Strong customer service and communication skills

  • Proficient in Microsoft Office: Outlook, Word, Excel, and PowerPoint

  • Knowledge and experience working with database systems, Donor Perfect preferred

  • Detail-oriented, organized and accurate

  • Available to work some evenings and weekends for events during the concert season

  • Experience working for a non-profit, music or arts organization a plus
