JOB SUMMARY
The Off Property Contact (OPC) Assistant Manager is responsible for driving and increasing tour flow by assisting in the management of all external marketing activities at designated location(s). The Assistant Manager provides direct supervision of Lead OPC Agents, OPC Agents and Greeters and maintains marketing strategies to meet organizational objectives, as directed by the OPC Marketing Manager and Company initiatives.

ESSENTIAL JOB FUNCTIONS

  • Recruits, trains, evaluates, coaches, monitors, mentors and motivates OPC staff.

  • Provides effective management of the marketing, advertising and promotional activities and collateral within the designated location(s) as directed by the OPC Marketing Manager.

  • Consistently achieves OPC department’s monthly and annual tours and sales goals as outlined by senior management.

  • Maintains department initiatives to increase productivity while maintaining a positive work environment.

  • Conducts weekly staff meetings to ensure department goals are being met.

  • Initiates and suggests plans to motivate team members to achieve monthly and annual production goals.

  • Initiates weekly one-on-one training with 35% of staff and holds monthly staff meetings with 100% of staff.

  • Trains staff on scripted sales presentation and area information.

  • Trains staff on the efficient use of marketing software systems.

  • Holds team members to individual minimum weekly tour production standards as set forth in agent compensation plans.

  • Regularly communicates challenges and solutions to Senior Marketing Leaders.

  • Ensures entire OPC staff and locations represent high standards of quality: appropriate and approved work attire at all times, practice good hygiene for individuals, and professional appearance and organizational cleanliness of locations.

  • Ensures OPC staff consistently has all tools and collateral to perform their job, stocked at their respective locations.

  • Spends minimum of time in office (15%), and majority of time (85%) training, monitoring and coaching team members one-on-one and at OPC locations.

  • Sets weekly schedule and distributes to staff by Thursday of each week for the following week.

  • Provides full managerial coverage of all OPC shifts as scheduled.

  • Runs and compiles daily, weekly and monthly reports as directed by the Marketing Manager.

  • Submits team member payroll in a timely manner, according to Payroll deadlines.

  • Attends all staff and management meetings.

  • Maintains a high level of professionalism at all times.

  • Works closely with local and regional Recruiting and Human Resources representatives.

  • Completes all required Company trainings and compliance courses as assigned.

  • Adheres to Company standards and maintains compliance with all policies and procedures.

  • Performs other related duties as assigned. EDUCATION

  • High School Diploma or equivalent. EXPERIENCE

  • A minimum two (2) years of experience in the Timeshare Marketing field required.

  • A minimum one (1) year of supervisory experience in the Timeshare Marketing field required.

    SUPERVISORY RESPONSIBILITIES This position spends the majority of the time (50% or more) achieving organization objectives, often through the coordinate achievements of subordinate staff. A portion of the time may be spent performing individual tasks related similar to those performed by direct reports, but primary duties are supervisory or organizational-goal related. Analyzes and resolves problems, determines work techniques, monitors for regulatory compliance, maintains production, interprets and creates policies, and demonstrates solid subject matter knowledge.

    Establishes departmental goals and objectives, functions with independence, and makes decisions on matters of significant importance. Manages human, financial, and/or physical resources; proactively assesses risk to establish systems and procedures to protect organizational assets. Exercises judgment within defined procedures and policies to determine appropriate action; develops systems to ensure subordinates adhere to policies and procedures in compliance with organizational goals and objectives.

    Specific supervisory duties include, but are not limited to the following:

  • Establishes objectives and goals for the team; plans, organizes and manages work flow.

  • Assigns, monitors, and reviews work; evaluates direct report’s performance.

  • Recruits, interviews, trains, disciplines, and terminates direct reports.

  • Orientates and trains direct reports.

  • Approves time records and time off requests; submits payroll for direct reports.

  • Investigates and resolves concerns and complaints.

  • Provide assistance and support; maintains a positive and professional working environment.
    LICENSE & CERTIFICATIONS

  • Timeshare Representative License as required by the state employed.

    SKILLS & ABILITIES This position requires the capability to understand and follow both oral and written directions as well as knowledge and usage of correct business English and office practices. Must be able to communicate effectively with others, analyze and resolve problems, maintain effective working relationships, and interact successfully with internal and external customers.

    Specific skills and abilities include, but are not limited to the following:

  • Ability to show proven timeshare marketing experience with a global-branded company, and successful experience in selling bounce-back packages.

  • Proficient in use of marketing software systems; able to train team members on its use and run reports for management purposes.

  • Computer proficiency in Microsoft Word, Excel and Outlook.

  • Excellent customer service skills.

  • Proficient in time management; the ability to organize and manage multiple priorities.

  • Ability to take initiative and effectively adapt to changes.

  • Recognizes an emergency situation and takes appropriate action.

  • Able to establish and maintain a cooperative working relation.

  • Ability to interpret and create spreadsheets.

  • Able to use sound judgment; work independently, with minimal supervision.

  • Able to perform a variety of duties, often changing from one task to another of a different nature, with impending deadlines and/or established timeframes.

  • Competent in public speaking.

  • Performs well with frequent interruptions and/or distractions.

  • Must be of legal age to serve alcohol.
